The VP Medical Affairs/Dean's Office - Medicine has an opening for the position of CME Compliance/Event Coordinator in grade 11 starting at a salary of LBP 1,476,433.- per month. Assist in the planning of CME/CNE activities and following through implementation until closing of activities by monitoring and controlling tasks to ensure abidance to schedules, activity allocated costs and standards of CME activities. Coordinate and manage the accreditation process and ensure continuous evaluation and improvements as well as act as a liaison to accreditation providers.
Support the mission and vision of the American University of Beirut Medical Center (AUBMC) and that of the Department.
Minimum Requirements
  • Bachelor's Degree in Business Administration
  • 2 years of experience in a event management
  • Strong command of Arabic and English (IET >/= 500)
  • Proficiency in using Microsoft office as well as other software as required by the job
  • Work Schedule: Regular weekdays including Saturdays &/or On-Call

Job Summary

Essential Functions / Task Groups

Program Planning, Accreditation and E-Learning:

  • Assist in the planning of CME/CNE activities and following through implementation until closing of activities.
  • Monitor and control tasks to ensure abidance to schedules, activity allocated costs and standards of CME activities.
  • Ensure compliance with accrediting bodies through:
    - Monitor commercial support and marketing material
    - Assist in on-site monitoring when requested
  • Coordinate with the LOP and ONL for accreditation applications and grand rounds (credits request and follow-up).
  • Coordinate and manage the accreditation process and ensure continuous evaluation and improvements, act as a liaison to accreditation providers (Cleveland clinic, ADA CERP…).
  • Plan and organize educational scientific meetings and conferences in accordance with CME guidelines.
  • Coordinate with activity directors, communicate with all speakers and moderators.
  • Solicit companies for support of activities.
  • Work with the e-Learning and accreditation manager on ACCME application process to become CME providers.
  • Coordinate with department administrators on AUBMC credits (Epic or other related).
  • Assist the e-learning and accreditation Manager in coordination with the ministry of Health to organize several e-learning educational courses for Physicians.

Logistics:

  • Attend to logistic arrangements such as:
    - Conduct site visits to conference venues, obtaining quotes and following-up on activity requirements
    - Coordinate delivery of conference materials to events such as syllabus, badges, flags…etc
  • Follow up on design and printing of marketing material:
    - Communicate with the AUBMC Strategic Planning and Communications Office on the design and printing of marketing material related to all activities of the CME Office
    - Report deadlines and progress of the printing and marketing material to Compliance Officers and Projects and Events Manager
  • Coordinate with AUB Central Duplication Office and/or printing suppliers for the implementation of designs and marketing material.
  • Coordinating exhibit logistics:
    - Liaise with event contractors, including exhibition builders and caterers
    - Liaise and coordinate with exhibitors & delegates on marketing material
  • Coordinate accommodation logistics :
    - Coordinate CME travel arrangements related to CME activities including tickets and hotels
    - Plan dinners, lunches, and tours related to CME activities g.
  • Conduct on-site monitoring.
  • Take minutes for CME office/SAC meetings.
  • Reserve conference rooms (ACC multipurpose conference room and Board conference room).
  • Update and change announcements on AUB – CME office website as well as prepare designs on Canva for the page.
