The Materials Management Department (AUBMC) has an opening for the position of Storekeeper I in grade 8 starting at a salary of LBP 1,060,460.- per month. Basic Functions
Responsible for all the supply transactions of the inventory items under his/her store custody, in particular responsible for ordering, receiving, verifying, labeling, storing, issuing and distributing supplies in accordance with the AUBMC Inventory Management rules and regulations. Implement cost effective methods of storage and issuance. Ensure that all inventory and consignment supplies are stored under ideal conditions and that maximum security applies at all times. Respond to client requests and inquiries. Update the inventory management system records and file the related reports. Perform periodic physical inventory count and assist during fiscal yearend physical inventory count of stock. Support the mission and vision of the American University of Beirut (AUBMC) and that of the Materials Management Department.
Minimum Requirements
  • Bachelor's Degree in Business Administration, Economics, or related field.
  • 1-2 years experience in warehousing.
  • Strong command of Arabic and English (IET score >/= 500).
  • Proficiency in Microsoft Office Applications as well as Inventory Management System.
  • Work Schedule: Shift Basis and/or On-Call

Job Summary

Essential Functions / Task Groups

Functional Duties:

  • Receive, inspect quality, count quantity of all incoming materials and reconcile with the purchase order traveler’s receipt issued by AUBMC Receiving area and with the supplier’s delivery note when applicable.
  • Document receiving on the traveler’s receipt as well as complete the receiving transaction on the oracle automated inventory application.
  • File copies of traveler’s receipts and delivery notes.
  • Document the purchase order discrepancies and return order discrepancies and damage to the Receiving area.
  • Monitor, report and document on the related automated application the receiving of the new brands or of new reference numbers.
  • Supervise and participate as needed the unpacking, labeling and stacking of received goods in their designated locators sorted by expiry date with nearest to expire ready for early picking and shipment.
  • Manage the daily issuance and dispensing of internal sales orders in accordance with MMD rules and regulations.
  • Manage the daily returns of internal sales orders in accordance with MMD rules and regulations.
  • Supervise and participate as needed in preparing and packing the issued supplies.
  • Determine priorities of delivery schedules in coordination with the user departments.
  • Assist the MMD Administration in resolving reported product complaints either through return or exchange of defective items.
  • Maintain the documents needed to control the physical stock of inventory items and to validate the materials transactions.
  • In addition, verify, update and report errors found in the information posted on the automated inventory management system such as incorrect quantities, supplier information, prices, etc.
  • Report potential and actual discrepancies and other irregularities to the MMD Administration.
  • Periodically run inventory reports for items with near expiry dates, slow moving and non-moving and communicate findings to MMD Administration.
  • Perform other related duties such as assisting MMD Administration in storage planning and advancement of warehouse management.
  • Communicate on daily basis to the MMD Administration the out of stock items or the high risk to be out of stock items and assist in identifying alternative replenishment plans.
  • Perform periodic physical inventory count and assist during fiscal year-end physical inventory count of stock.
  • Verify through counting, checking and inspecting all packed supplies ready for shipment and reconcile with the store issue voucher and ensure that all issues are made against requisitions and that no item leave the store without the appropriate documentation or signature.
  • Submit materials replenishment orders on timely basis.
  • Set priorities, determine work load and give work directions to the Warehousemen, Inventory Technicians, and to daily workers and review their work for accuracy and completeness.

 

Administrative / Miscellaneous Duties:

  • Safeguard the stored materials from environmental threats and from theft.
  • Ensure that store is clean and organized at all times.
  • Ensure that all staff under his/her supervision abide with AUBMC and MMD rules and regulations and report staff noncompliance to his/her direct supervisor.
  • Ensure to comply with the periodic cycle count schedule.
  • Ensure that store activities are performed in compliance with AUBMC policies and procedures.
  • Adhere to Materials Management Department policies and procedures.
  • Adhere to Supply Chain code of ethics.
  • Ensure proper supervision of ware housemen and inventory technicians when required to do so.

Impact of Actions / Decisions

Inaccuracy in inspection of delivered supplies as per purchase orders may result in significant discrepancy in the store.

Inaccuracy in inspection of issued supplies as per store issue voucher may result in significant discrepancy in the store. Improper follow up on daily transactions may cause disruption of the hospital daily operations.
Negligence in recording and verifying the lot numbers and expiry dates of inventory items may result in significant waste. Negligence in safeguarding the stores may facilitate loss of inventory items.
Missed or late response to end-users requests may jeopardize patient care and customer service.
